TeamViewer is a remote access tool that we use to connect to your computer so that we can install a new email address for you or investigate an email issue. The video below explains how to download and install TeamViewer on your computer for free:
Before setting up your email address for the first time you need to decide if you want to use it as a POP or IMAP address. This choice is important because it cannot be changed later.
POP type email addresses are the easiest to manage because they require less internet bandwidth and do their own housekeeping. The downside is that they do not synchronise between devices, so if you are using your email address on a computer and a cellphone, these devices will not know of any replies you have sent from the other device.
IMAP addresses are more complex, require more internet bandwidth and you will need to do manual housekeeping on a regular basis to make sure they do not run out of capacity. The big advantage is that they synchronise automatically between all the different devices you are using them on.
The video below explains the difference between the 2 email protocols in more detail so you can make the best choice:
The following video shows how to set up your email account in Outlook:
Go to www.redcactus.co.za/webmail and obtain the technical settings for your email address. The video above shows how to do this and it also shows you how to set up the email address on your computer.
To set up your email address on a mobile device (cellphone or tablet) you need to use the same settings as outlined above. Here are links to tutorials that show you the steps you need to follow:
Android phones, such as Samsung and Huawei: https://redcactus.co.za//kb-article/email-on-android-mobile-phones-samsung-sony-huawei-lg/
Apple devices, such as iPhone and iPad: https://redcactus.co.za//kb-article/email-on-apple-devices-iphone-ipad/
Your email account that is hosted at Red Cactus does not have an unlimited size and needs to be cleaned up on a regular basis. If you have set up your email address as a POP type account, then the housekeeping generally happens automatically, but with an IMAP account you have to do it yourself.
It is not enough to delete and archive emails on your local computer or mobile device, because your emails here are just copies of the master details that are hosted online. You will therefore have to log in to the online mail account and do the clean up there. Here is how to do it:
1. Go to http://mail.redcactus.co.za/ and log in with your email address and its password.
2. The email account overview screen will show you how much of your email capacity you are using and where your email items are stored. In the example below you will notice that there are many email items stored in the folders 'Deleted Items" and 'Trash'. The numbers next to the folders only show the unopened emails, so there could be thousands more.
3. Your next step is to click on the 'Deleted Items' folder. Once the system shows the folder you will be able to delete individual emails, or you can click the box on top of you mail list so that ALL emails in the folder will be selected:
4. Now delete the items you have selected by clicking on the trash bin icon:
5. Finally, open the 'Trash' folder and repeat the selection and deletion process. You may not see a reduction in the mailbox file size immediately because there will be certain processes running for a while in the background.
If you are getting error messages when your email program tries to connect to the email server, it does not necessarily mean that something is wrong with your email account. It is necessary to do a bit of trouble shooting first.
Step 1: Read the error message. Very often it will tell you what is wrong and you don't need to look any further.
Step 2: Establish of your internet connection is working.
Step 3: Try accessing your email account via your web browser. Simply go to mail.redcactus.co.za/ and sign in with your email address and its password. If this is successful and you can access your email from this screen, then your problem is caused by a poor internet connection, a problem with your computer, email program or operating system.
Step 4: Check that your email address has been set up correctly on your computer/mobile device. You can view the correct settings by going to www.redcactus.co.za/webmail/ and typing your email address.
Important note if you are using Microsoft Outlook: Outlook requires a lot of system resources and a fast and reliable internet connection. If your internet connection is not very reliable, then it is very likely that it will cause problems with email management - especially if you are using the IMAP protocol.
